German cover letter (Anschreiben)
Structure, format and examples

A good German cover letter follows clear rules, but it is not a form to fill in. This guide shows the DIN 5008 layout in detail and concrete wording for the opening, the main part and the closing that goes beyond empty phrases.

In short: A German cover letter (Anschreiben) follows DIN 5008 and has exactly three paragraphs: an opening with a concrete link to the job instead of a stock phrase, a main part with two or three examples instead of repeating your CV, and a closing that actively offers an interview. It ideally fits on one page and is adapted to each job.

DIN 5008 structure of the cover letter

DIN 5008 is the German standard for the formal layout of business letters, and employers also expect it for cover letters. Unlike the CV (Lebenslauf), the cover letter is not a table but clearly structured continuous text with a fixed header.

  • Sender address at the top, recipient address in the address field below it.
  • Date right-aligned, without repeating the place.
  • Subject line naming the specific position, in bold, without the word „Betreff:“ (Subject:).
  • Salutation with the contact person's name if the job ad gives it.
  • Three clearly separated paragraphs: opening, main part, closing.

Common mistakes in German cover letters

  • The word „Betreff:“ in front of the subject line.
  • The salutation „Sehr geehrte Damen und Herren“ (Dear Sir or Madam) although a name was known.
  • The CV repeated as continuous text instead of new content.
  • No recognisable link to the specific job ad.
  • More than one page.

4 steps to your German cover letter

  1. 1

Set the address block and subject line according to DIN 5008

Your address goes at the top left or right, the company's address below it on the left in the address field. The date is right-aligned, without the place in front if it already appears in the letterhead. The subject line names the position specifically, without the word „Betreff:“ in front, for example „Bewerbung als Pflegefachkraft, Kennziffer 4471“ (application as a registered nurse, reference number 4471).

  2. 2

    Open without a stock phrase

The first sentence decides whether the reader goes on. Avoid „Hiermit bewerbe ich mich als …“ (I hereby apply as …), which is pure formality without information. Start with a concrete reference instead: the job ad, a recommendation or a professional observation about the company.

  3. 3

Build the main part on achievements, not on a list

Do not repeat your CV in prose. Choose two or three concrete situations from your previous work that show what you can achieve in the new position. Each statement should connect to a requirement from the job ad.

  4. 4

Close by actively offering an interview

Avoid the conditional „Über eine Einladung würde ich mich freuen“ (I would be pleased to receive an invitation), which sounds unsure. Phrase it actively, for example „Gerne stelle ich Ihnen meine Erfahrung im persönlichen Gespräch vor“ (I look forward to presenting my experience to you in person). Finish with the closing formula and your signature; the date is already in the letterhead at the top.

The three-paragraph logic in detail

A cover letter consists of exactly three blocks of content. In the opening, you create interest with a concrete reference, not by announcing that you are applying; that is already in the subject line. In the main part, you show with examples why you fit the position instead of just listing qualities.

In the closing, you signal actively that you would like to talk, and you finish with the closing formula and your signature. Each paragraph has one task; a paragraph that tries to do two things at once usually looks unstructured.

Why copied cover letters get rejected

HR departments often only skim a cover letter briefly and look for specific things: a link to the job in the opening, whether the main part matches the required tasks, and whether the company is mentioned by name at all. A cover letter that would fit any other job just as well stands out immediately in this quick scan.

Opening sentence: generic and job-specific (German original, English translation in brackets)
Generic openingJob-specific opening
„Hiermit bewerbe ich mich als Pflegefachkraft in Ihrem Unternehmen und freue mich auf eine positive Rückmeldung.“ (I hereby apply as a registered nurse in your company and look forward to a positive reply.)„Ihre Stellenanzeige für die Pflegefachkraft auf der Intensivstation hat mich direkt angesprochen, da ich seit drei Jahren genau in diesem Bereich arbeite.“ (Your job ad for a registered nurse in the intensive care unit appealed to me straight away, as I have been working in exactly this area for three years.)

Example wording: before and after

The following examples show how a general statement becomes a concrete, verifiable sentence. The aim is not more text, but more content per sentence.

Before and after (German original, English translation in brackets)
BeforeAfter
„Ich bin sehr belastbar und flexibel und kann mich schnell in neue Themen einarbeiten.“ (I work well under pressure, am flexible and get to grips with new topics quickly.)„In meiner letzten Stelle habe ich innerhalb von sechs Wochen die Einarbeitung in ein neues Warenwirtschaftssystem eigenständig übernommen und zwei Kollegen darin geschult.“ (In my last job, I independently learned a new inventory management system within six weeks and trained two colleagues in it.)
„Ich interessiere mich sehr für Ihr Unternehmen und die ausgeschriebene Stelle.“ (I am very interested in your company and the advertised position.)„Ihr Fokus auf ambulante Pflege in ländlichen Regionen passt genau zu meiner bisherigen Erfahrung in der mobilen Patientenbetreuung.“ (Your focus on outpatient care in rural areas matches my experience in mobile patient care exactly.)
„Über eine Einladung zu einem persönlichen Gespräch würde ich mich sehr freuen.“ (I would be very pleased to be invited to an interview.)„Gerne stelle ich Ihnen meine Erfahrung im Bereich Qualitätssicherung in einem persönlichen Gespräch vor.“ (I look forward to presenting my experience in quality assurance to you in person.)
„Ich habe viel Erfahrung im Kundenkontakt und arbeite gerne im Team.“ (I have a lot of experience in customer contact and enjoy working in a team.)„Im direkten Kundenkontakt habe ich pro Tag bis zu 30 Anfragen bearbeitet und dabei eng mit dem Reklamationsteam zusammengearbeitet.“ (In direct customer contact, I handled up to 30 enquiries a day and worked closely with the complaints team.)

Cover letter in German or in English?

International companies and job ads written in English often expect an English cover letter, even if part of the later communication in the company takes place in German. The structure differs from the German Anschreiben in important points.

Frequently asked questions

How long should a German cover letter be?

Ideally no more than one A4 page, which is also what the Federal Employment Agency recommends. HR departments expect a short, focused letter, not a second summary of your CV. If your text does not fit on one page, cut the main part down to your two or three strongest points instead of reducing the font size or the margins.

Do I have to write every cover letter from scratch?

No, but a plain copy with only the company name changed is quickly noticed by recruiters, because the wording then does not fit the specific job ad. Keep your basic structure, but adapt the opening and at least one point in the main part to each position.

Is a signature required on the cover letter?

For an online or email application, insert your scanned signature into the document. For an application by post, sign by hand with your full first name and surname. This is also how the Federal Employment Agency describes it in its application training.

What is the difference between Anschreiben and Motivationsschreiben?

For a specific job ad in Germany, „Anschreiben“ is the right term: a short application letter tailored to the position. „Motivationsschreiben“ (letter of motivation) is mostly used for university, vocational training or EU programmes such as Erasmus and is worded more broadly, without a direct reference to a vacancy. For a regular job application, you should therefore write an Anschreiben, not a Motivationsschreiben.
